๐Ÿ“ฑ SMS Automation

A complete post-visit SMS sequence, triggered at check-in, runs itself.

Patient checks in. Spokk takes over. Feedback request at 2 hours. Reminder at 24 hours if they did not respond. Google review nudge at 3 days. Referral message at 20 days, right when they have confirmed their results are lasting. Every step checks what has already happened and skips what is done. Your front desk does nothing.

Why SMS is the only channel that actually works for chiropractic follow-up.

Hear me out. Email is fine for newsletters and appointment confirmations. But for post-adjustment feedback, it is simply too slow and too easy to ignore. Let me explain why SMS is categorically different for your specific patient base.

Chiropractic patients are mobile-first.

Your patients are not sitting at a desk all day waiting for emails. They are active people. They drive to your clinic, get adjusted, and head straight back to their life. A text message reaches them on the device they already have in their hand. An email sits unopened until they get home, if they get to it at all.

The timing window is unique to chiropractic.

Here is something specific to chiropractic that most practice software ignores. Right after an adjustment, your patients are in one of two emotional states: immediate relief (the best) or initial soreness (temporary, but emotionally salient). Both states produce vivid, honest feedback. At 2 hours, that emotional window is still open. By the next morning, the adjustment is just a memory. By the time an email arrives two days later, the experience has completely blurred.

What about email-only patients?

Spokk supports email as a fallback channel. If a contact has no phone number on file, the automation step checks and can use email if configured. The default sequence is SMS-first, but patients without phone numbers are handled gracefully.

The default chiropractic automation sequence, step by step.

This is what runs out-of-the-box. Every timing and message is editable. Every step can be toggled on or off individually.

Feedback Request2 hours after check-in

Sends the patient their personalized feedback link. The link opens a mobile-optimized form with star ratings, a written comment section, and optional staff ratings. The 2-hour timing is deliberate: it catches patients while their post-adjustment experience is still vivid, before the details blur.

Chiropractic note:

For chiropractic, this timing captures both patients feeling immediate relief and those with initial soreness. Both groups are emotionally engaged and produce higher-quality, more detailed feedback than patients contacted 24+ hours later.

Default SMS template:

"Hi {{name}}, thanks for visiting {{company}}! How did you feel after your adjustment? Share your feedback: {{link}}"

Feedback Reminder24 hours after check-in

A gentle second touch for patients who received the feedback SMS but did not submit. Same personalized link. The wording here is softer and focused on how the patient is feeling, which works well for the day-after chiropractic experience.

Chiropractic note:

By 24 hours, patients who felt soreness immediately after the adjustment have usually moved through it and are feeling better. The timing often catches them in a positive mindset.

Default SMS template:

"Hi {{name}}, just a quick follow-up from {{company}}. We'd love to hear how you're feeling: {{link}}"

Skip logic:

Automatically skipped if the patient already submitted feedback after the first message.

Google Review Reminder3 days after check-in

Sends the direct Google review link to patients who submitted feedback but did not click through to leave a review. By day 3, most patients have had enough time to assess how they are feeling and can write a meaningful review.

Chiropractic note:

Three days post-adjustment is ideal for chiropractic review requests. Patients who felt immediate relief have had time to confirm it is holding. Patients who were initially sore have usually recovered and are in a positive mindset.

Default SMS template:

"Hi {{name}}, if you have a moment, a Google review for {{company}} would mean a lot to us: {{link}}"

Skip logic:

Automatically skipped if the patient clicked the Google review link, or if they never submitted feedback.

Referral Request20 days after check-in

Sends the patient's unique referral code 20 days after their visit. By this point, patients have had enough time to confirm their results are lasting, which makes them genuinely enthusiastic referrers rather than people who felt good for a week and then went back to baseline.

Chiropractic note:

Twenty days is specifically calibrated for chiropractic. A patient who is still doing well at 20 days is likely converting to maintenance care or scheduling a follow-up. Their enthusiasm for referring friends is at its peak.

Default SMS template:

"Hi {{name}}, know someone who could use a great chiropractor? Share your code and they mention it at check-in. You both get a reward. Your code: {{code}}"

Skip logic:

Automatically skipped for opted-out contacts.

Triggering the sequence: QR check-in, API, Zapier, and more.

Chiropractic practices run on a wide range of systems. ChiroTouch, Jane App, Cliniko, Genesis Chiropractic Software, DrChrono. The list goes on. Spokk supports multiple trigger methods so it fits whatever setup your clinic already has.

Flexibility here matters. A busy clinic that sees 60 patients a day needs a hands-off trigger. A small solo practice might prefer manual control for specific patients. Both work.

๐Ÿ“ฒ

QR code check-in at the front desk

Most common

A QR code poster at your reception counter. Patient scans it on their phone, confirms their visit, and the sequence starts automatically. Works on any smartphone. No app required. Takes 10 seconds. This is how most chiropractic practices set it up because it requires nothing from the front desk beyond putting up a sign.

Generate your QR code inside Spokk in under 2 minutes. Download, print, and mount. One QR code per location. The scan logs the visit, starts the automation sequence, and increments the loyalty visit count if loyalty is enabled.

๐Ÿ”—

REST API integration with your PMS

Connect Spokk to ChiroTouch, Jane App, Cliniko, or any other chiropractic PMS via the Spokk REST API. When an appointment is marked as completed in your system, your integration fires a POST to Spokk and the sequence starts automatically. No front desk involvement at all.

API keys are available on all paid plans. Spoken has full API documentation. Your developer or IT person can usually set this up in under a day.

โšก

Zapier or Pabbly (no-code integration)

Don't want to deal with code? Use Zapier or Pabbly to connect your scheduling system to Spokk without writing a single line. When a new appointment is completed in Jane App or your Google Calendar or whatever you use, the Zap fires and the Spokk sequence starts.

Spokk is available as a Zapier action. Pabbly integration works via webhook. Setup takes about 20 minutes with no technical background required.

๐Ÿ”ง

HubSpot integration

Practices using HubSpot CRM can connect Spokk directly via OAuth. Patient records sync, and you can trigger automations from HubSpot workflows. Useful for practices that already use HubSpot for marketing.

๐Ÿ–ฅ๏ธ

Manual trigger from the dashboard

Trigger the automation for a specific patient directly from the Spokk dashboard. Useful for patients who missed the QR check-in, one-off follow-ups, or testing during setup.

Customizing the sequence for your practice.

The defaults work well right out of the box for most chiropractic practices. But every clinic has its own voice, its own patient mix, and its own preferences. Here is what you can change.

One thing worth calling out specifically: chiropractic has a patient type that most other specialties do not deal with as much. Wellness patients who come weekly or bi-weekly need to be handled differently from acute pain patients who come in for a short episode. Spokk has a setting for this.

โฐ

Adjust the timing

Change the feedback request from 2 hours to 4 hours. Move the review reminder from 3 days to 5 days. Push the referral to 30 days. Every delay is configurable in hours or days from inside the flow builder.

โœ๏ธ

Rewrite any template

The default messages are clean and effective, but your practice has its own personality. Rewrite any template entirely. Use {{name}}, {{company}}, and {{link}} as dynamic variables.

๐Ÿ”ง

Toggle individual steps on or off

Only want feedback and reviews? Turn off the referral step. Want to skip the reminder? Done. Each step is independently enabled or disabled. You are in full control.

โž•

Add custom SMS steps

Add steps that are not in the default sequence. A post-adjustment stretching tip at 6 hours. A 1-week check-in for new patients. A re-engagement message at 90 days for patients who have gone quiet. Any message, any timing.

โฑ๏ธ

Feedback cooldown for wellness patients

Set the minimum number of days before a patient re-enters the sequence. For weekly wellness patients, set 28 days so they receive feedback requests monthly rather than every visit. Prevents over-messaging and keeps engagement rates high.

๐Ÿ“

Per-location configuration

Running multiple locations? Each location can use the same flow or a completely different one. The flow builder is per-location. Feedback links and QR codes are location-specific.

Testimonial request step

You can also add a testimonial request step to the sequence. This sends patients a link to record or write a video or text testimonial for your practice. Especially useful for chiropractic where patient transformation stories are compelling marketing content. Learn more about collecting chiropractic patient testimonials.

Compliance: TCPA, STOP opt-out, and dedicated toll-free numbers.

If you are sending SMS to patients in the US or Canada, TCPA compliance is not optional. Spokk is built with this in mind. Here is exactly how it works.

๐Ÿ›‘

STOP opt-out handling

When a patient replies STOP to any Spokk message, they are immediately marked as opted out. All remaining automation steps for that contact are cancelled. No future messages are sent. Opt-outs are permanent and respected across all Spokk features for that contact.

๐Ÿ“ž

Dedicated toll-free number for US and Canadian practices

On paid plans, Spokk provisions a dedicated toll-free SMS number for your practice. Messages come from your number, not a shared pool. This is important for brand recognition (patients see a consistent number) and for compliance (dedicated numbers are easier to register and manage for TCPA purposes).

๐Ÿงช

Shared number during trial

During the 14-day free trial, messages are sent from a shared Spokk toll-free number. This is clearly communicated upfront. Upgrading to a paid plan provisions your dedicated number.

๐ŸŒ

International practices (BYOT)

Practices outside the US and Canada can connect their own Twilio account (bring your own Twilio). You manage your own number provisioning and compliance obligations for your jurisdiction. Spokk handles the automation logic; your Twilio account handles the sending.

๐Ÿ“‹

Patient consent

Spokk's automation assumes patients have provided consent to receive SMS as part of your intake process. It is your responsibility to collect and document patient consent in accordance with TCPA requirements. The QR check-in flow includes an opt-in acknowledgment step that can be configured.

Frequently asked questions about SMS automation for chiropractic clinics

What SMS messages does Spokk send automatically for chiropractic practices?+
The default automation sends four messages: (1) a feedback request 2 hours after check-in with a personalized link to rate their experience, (2) a feedback reminder 24 hours after check-in if they have not responded yet, (3) a Google review reminder 3 days after check-in if they submitted feedback but did not click the review link, and (4) a referral request 20 days after check-in. Every step is editable. You can change the timing, the message, and which steps are active.
Why send the feedback request 2 hours after a chiropractic adjustment?+
Two hours is a deliberate choice for chiropractic. Right after an adjustment, patients are either feeling immediate relief or experiencing some initial soreness. Both states produce emotional, high-quality feedback. At 2 hours they are still in that window. By 24 hours, the experience has blurred. By the next day, some patients have forgotten details. Catching them at 2 hours reliably produces higher response rates and more detailed feedback than any other timing.
How does Spokk know when to skip a step?+
Smart skip logic is built into every step. If a patient submits feedback, the 24-hour reminder is skipped automatically. If they click the Google review link, the 3-day review reminder is skipped. If a patient replies STOP, all remaining steps are cancelled. No patient gets a message they have already acted on.
How does Spokk handle wellness patients who visit weekly?+
Frequent visitors are handled by the feedback cooldown setting. You set the minimum number of days that must pass before a patient re-enters the automation sequence. For weekly wellness patients, you might set a 30-day cooldown so they get one sequence per month rather than one per visit. This avoids over-messaging and keeps patients engaged without annoying them.
Can I connect Spokk to ChiroTouch, Jane App, or Cliniko?+
Yes. Spokk provides a REST API that lets you trigger the automation sequence from any PMS or scheduling system. When an appointment is marked completed in ChiroTouch, Jane App, Cliniko, or another system, your integration fires a POST to the Spokk API and the sequence starts automatically. No-code options via Zapier and Pabbly are also available for practices that prefer drag-and-drop setup.
Why is 20 days the default timing for the referral message?+
Twenty days is ideal for chiropractic specifically because it gives patients enough time to confirm that their results are lasting. A patient who felt great right after the adjustment but then had their pain return is not going to be enthusiastic about referring friends. At 20 days, the patients who are still doing well are genuinely excited to share the experience. That enthusiasm translates into better referral conversion.
What does the QR check-in do beyond starting the automation?+
A single QR scan does three things at once: it starts the automation sequence, increments the patient loyalty visit count and checks for milestone rewards, and logs the visit to the patient contact record. One scan per patient per visit. Zero manual work for your front desk.
Can I customize the SMS message templates?+
Yes, fully. Every message template is editable. Change the wording, adjust the timing, or rewrite it entirely. Templates support dynamic variables: {{name}} for the patient name, {{company}} for your practice name, and {{link}} for the relevant URL. You can also add completely custom steps with your own message and timing.
Is this TCPA compliant?+
Spokk is built with TCPA compliance in mind. Every patient who opts out by replying STOP is immediately removed from all future automation. Opt-outs are recorded at the contact level and respected permanently. For US and Canadian practices on paid plans, messages are sent from a dedicated toll-free number registered to your practice.
Does the automation work across multiple chiropractic locations?+
Yes. Each location gets its own QR code and its own check-in flow. Locations can share the same automation sequence or use different configurations. Feedback forms route to the specific location. Reporting is available by location or rolled up across the whole practice.
Can I see logs of what was sent to each patient?+
Yes. The Spokk dashboard shows the full automation history for each contact: which steps were sent, when, what was skipped and why, and whether the patient clicked any links. The activity log is per-run and per-patient.
