The 4-step sequence

Every step has a specific job. Here's exactly what each one does and why it matters.

2 hours after visit
📋Feedback request

Two hours is the sweet spot. Your diner is home and relaxed. The meal is still vivid. They haven't moved on yet. The SMS delivers a personal link to a quick feedback form — dish ratings, service score, open comments. Takes under 60 seconds. This is where you learn what actually happened that night, privately, before anyone else does.

24 hours after visit
🔔Feedback reminder (smart skip)

If the diner submitted feedback yesterday, this step is automatically skipped. If they didn't, they get a gentle reminder. One message. No harassment. The timing here catches the ones who opened the first message, meant to fill it out, and then got distracted by something else — which is most people.

3 days after visit
Google review nudge (smart skip)

Three days gives enough time to feel like a natural follow-up, not a pushy immediate ask. If the diner submitted feedback and the AI already generated a review draft, this message nudges them to post it. If they already clicked the review link, this step is automatically skipped. If they never submitted feedback at all, this step is also skipped — no point asking for a review from someone who hasn't engaged.

20 days after visit
🔗Referral SMS

Twenty days is deliberate. By now the diner has been back to their normal routine. They've probably eaten out a few times since. When a message arrives saying 'share this with a friend and get something for yourself,' the experience at your restaurant is still positive enough that they'd recommend it anyway. The referral code gives them something specific to pass along — their friend just mentions it to staff at check-in.

Trigger methods

Four ways to start the sequence. Pick the one that fits your operation.

You don't have to change how your restaurant runs. Spokk fits into whatever you already do.

📱
QR code check-in

Print a QR code and put it on the table, at the counter, or at the front desk. The diner scans it when they arrive or at the end of their meal. The automation sequence starts immediately. No hardware, no setup beyond printing.

Best for: full-service, fast-casual, cafes
🖥️
POS integration via API

Connect Spokk to Toast, Square, Lightspeed, or any POS that supports webhooks. The sequence triggers automatically when a ticket closes or a table checks out. No manual work for your staff at all.

Best for: high-volume operations that want zero manual effort
Zapier or Pabbly

No-code connections between Spokk and hundreds of apps. OpenTable, Resy, Google Sheets, Mindbody, and more. If your reservation or POS software has a Zapier integration, you can trigger Spokk from it without writing any code.

Best for: restaurants already using automation tools
👤
Staff manual entry

Your team logs the visit directly from the Spokk portal. Takes about 10 seconds: name and phone number. Works for walk-ins, phone bookings, or any situation where a diner didn't scan a QR code.

Best for: walk-in-heavy restaurants, event bookings
Smart skip logic

Messages only go out when they're still relevant. Your diners won't feel spammed.

The thing that makes automation feel spammy is when it ignores what the person has already done. Getting a reminder to fill out feedback when you already did it two hours ago. Getting a review request for a place you already reviewed. That kills trust fast.

Spokk's skip logic checks the state of each contact before sending every message. Has the feedback been submitted? Skip the reminder. Has the review link been clicked? Skip the nudge. Has the contact opted out? Skip everything permanently.

The result is that every message a diner receives is one they haven't already acted on. The sequence feels attentive, not robotic. And that matters a lot for a restaurant, where your relationship with regulars is built on exactly that kind of attentiveness.

Skip logic in action
Feedback submitted before 24h reminder
Reminder skipped
Google review link clicked before 3-day nudge
Nudge skipped
Feedback not submitted at all
Review nudge also skipped
Contact replied STOP at any point
All future steps skipped permanently
Visit triggered within cooldown window
New automation run skipped
FAQ

Frequently asked questions

What SMS messages does Spokk send automatically for restaurants?

The default sequence sends: (1) a feedback request 2 hours after check-in with a personal link to rate their experience; (2) a feedback reminder 24 hours later if they haven't submitted yet; (3) a Google review nudge 3 days after check-in if feedback was submitted but the review link wasn't clicked; and (4) a referral SMS 20 days after check-in with their unique referral code. Every step is customizable.

How does Spokk know when to skip a message?

Spokk has smart skip logic built into every step. The feedback reminder is automatically skipped if the diner already submitted feedback. The review reminder is skipped if they already clicked the review link. The referral step checks opt-out status. No diner gets a message they've already acted on.

How does the automation get triggered at a restaurant?

Four ways: (1) QR code check-in — the diner scans a QR code at the table, counter, or front desk; (2) Staff manual entry — your team logs the visit from the Spokk portal, useful for walk-ins or when guests don't scan; (3) REST API — your POS or booking system sends a trigger automatically when a visit closes; (4) Zapier or Pabbly — no-code connections to apps like Toast, Square, OpenTable, Resy, and others.

Can I customize the SMS messages?

Yes. Every message template is fully editable. You can change the wording, adjust the delay timing, and enable or disable individual steps. Templates support dynamic variables: {{name}} inserts the diner's name, {{company}} inserts your restaurant name, and {{link}} inserts the relevant URL.

What if a diner doesn't want to receive automated messages?

Diners can opt out by replying STOP to any message. Opted-out contacts are never messaged again — all future automation steps are automatically skipped for them. Opt-out is recorded at the contact level.

Does Spokk work for multi-location restaurant groups?

Yes. Each location can have its own automation configuration, or they can all share the same flow. Check-in at a specific location is tracked, and the feedback link routes to that location's form and Google review link.

Can I add extra steps beyond the default sequence?

Yes. The Spokk flow builder lets you add custom SMS steps with any message and timing you choose. For example, you could add a post-meal care tip, a weekend reservation invite 2 weeks out, or a seasonal menu announcement.

Is the SMS number a dedicated number for my restaurant?

For US and Canadian restaurants, Spokk provisions a dedicated toll-free SMS number for your business on paid plans. During the 14-day free trial, messages come from a shared Spokk number. International restaurants can use their own Twilio credentials.

How does SMS automation connect to loyalty and referral programs?

They all share the same automation backbone. The loyalty milestone SMS is triggered separately when a diner hits a reward milestone. The referral SMS in the sequence delivers the diner's unique referral code. All messages are tracked in Spokk and tied to the same contact record.

What is the feedback cooldown and how does it work?

The feedback cooldown prevents the automation from re-triggering too soon for frequent diners. You set the cooldown window — for example, 3 days — so a diner who comes in Tuesday and Friday won't receive the full sequence both times. Their visit count still increments for loyalty purposes.

Can I connect Spokk to my existing POS like Toast or Square?

Yes. Spokk connects via REST API or through Zapier and Pabbly. If your POS supports webhooks or Zapier integration, you can trigger Spokk's sequence automatically whenever an order closes or a table checks out. No manual entry required.

Can I see logs of what messages were sent to each diner?

Yes. Your Spokk dashboard shows automation activity per contact — which steps were sent, when, what was skipped and why, and whether the diner clicked any links. Logs are detailed and per-run.
