The default sequence

Four messages. Fully automated. Smart enough to skip what it does not need to send.

๐Ÿ’ฌ
2 hours after checkout
Feedback request
Your client gets a text: 'Hi Sarah, how was Charlie's stay at [Your Facility]? We'd love to hear from you.' They tap the link, fill out a quick feedback form, and done. This is the most important step โ€” everything else in the sequence builds on whether they completed this one.
๐Ÿ””
24 hours after checkout
Feedback reminder
If the client did not open the feedback link in the first 24 hours, they get a gentle reminder. It is short, friendly, and non-intrusive. Most people who respond do so within the first 48 hours of a visit.
Smart skip: Automatically skipped if the client already submitted feedback.
โญ
3 days after checkout
Google review nudge
If the client submitted feedback but did not click the Google review link, they get a follow-up: 'Thank you for your feedback! Would you mind sharing it on Google? It takes under 2 minutes.' Spokk's AI already drafted the review from their feedback โ€” it is ready to post.
Smart skip: Automatically skipped if the client already clicked the review link, OR if they never submitted feedback.
๐ŸŽ
20 days after checkout
Referral invite
Three weeks after their visit, the client gets their unique referral link: 'Know anyone with a pet who needs boarding? Share this link โ€” they get [reward] on their first stay, and you get [reward] when they book.' The referral program runs entirely on its own from this point.
Smart skip: Automatically skipped if the client has opted out of communications.
Trigger methods

Works with however your facility operates โ€” QR code, booking software, or manual entry.

๐Ÿ“ท
QR Code Check-in
Print the QR code and stick it at your front desk, reception counter, or drop-off area. The client scans when they arrive or leave. No hardware required beyond a printer. No app download required for the client โ€” it works in their phone browser.
Best for most facilities. Zero tech friction.
โš™๏ธ
REST API
Any booking software can trigger Spokk via API call when an appointment is completed. Works with Gingr, 123Pet, PetExec, and any system with webhook or API support. Your developer sets it up once and it runs forever. No manual step needed from staff.
Best for facilities with booking software that supports webhooks.
๐Ÿ”—
Zapier or Pabbly
No-code automation. Connect Spokk to any app without writing code. If your booking system is on Zapier, you can set up a Zap that triggers Spokk whenever an appointment is marked complete. Works with thousands of apps.
Best for facilities without a developer and who use cloud-based booking software.
๐Ÿ‘ค
Staff Manual Entry
Staff log a visit manually from the Spokk dashboard. Useful for walk-ins, phone bookings, or when a client forgets to scan the QR. Takes about 15 seconds โ€” enter the client name and phone number, hit trigger, done.
Best as a backup method or for smaller facilities without a formal check-in process.
Daycare-specific considerations

Running daycare five days a week means you need cooldown logic. Here is how it works.

Okay, here is a scenario you might be thinking about. A daycare client brings their dog in three times a week. If you trigger the full automation sequence every single visit, they are getting 12 SMS messages a month. That is going to annoy them fast and tank your reputation with your most loyal clients.

Spokk has a cooldown setting for exactly this reason. You define a minimum number of days between automation triggers for the same contact. Set it to 30 days, and even if that client comes in 12 times in a month, the automation only triggers once every 30 days. They get asked for feedback once. They get the review request once. They get the referral once.

This is a critical setting for daycare facilities and you should configure it based on your typical visit frequency. For pure overnight boarding where clients visit a few times a year, a 7-day cooldown is usually fine. For high-frequency daycare, 30 days is more appropriate.

The cooldown does not affect the loyalty program check-in โ€” that still tracks every visit. It only affects the feedback and review automation sequence.

Recommended cooldown settings by facility type

Visit frequency: Low (a few times per year)
Suggested cooldown: 7-14 days
Daycare only
Visit frequency: High (multiple times per week)
Suggested cooldown: 30-45 days
Mixed boarding and daycare
Visit frequency: Medium to high
Suggested cooldown: 21-30 days
Grooming and training add-ons
Visit frequency: Varies by service
Suggested cooldown: 14-21 days
FAQ

Frequently asked questions

What SMS messages does Spokk send automatically for pet boarding facilities?
The default sequence sends: (1) a feedback request 2 hours after checkout, with a personalized link; (2) a feedback reminder 24 hours later if they have not responded; (3) a Google review reminder at 3 days if they submitted feedback but did not click the review link; and (4) a referral request 20 days after the visit with their unique referral link. Every step is customizable.
How does Spokk know when to skip a message in the sequence?
Spokk has smart skip logic built in. The 24-hour feedback reminder is automatically skipped if the client already submitted feedback. The 3-day review reminder is skipped if the client already clicked the Google review link. No client gets a message they have already acted on. And any client who opted out of SMS never receives another message.
How is the automation triggered for a pet boarding visit?
The most common method is QR code check-in at your front desk. The pet parent scans when dropping off or picking up, and the sequence starts automatically. You can also trigger manually from the staff dashboard, via REST API (to connect booking software like Gingr or 123Pet), or via Zapier or Pabbly for no-code integrations with any app.
Can I connect Spokk to my pet boarding management software?
Yes. Spokk integrates via REST API, Zapier, and Pabbly. If your software (like Gingr, 123Pet, PetExec, or any booking system) can send a webhook or connect to Zapier, you can use it to automatically trigger the Spokk automation sequence when an appointment is completed. No manual step required.
Can I customize the SMS message content?
Yes. Every message template is fully editable. You can change the wording, adjust the delay timing, and enable or disable individual steps. Templates support dynamic variables: the client's name, your facility name, and the relevant link. You can add custom SMS steps with any message you want to send at any point in the sequence.
What if a pet parent does not want automated messages?
They can reply STOP to any message. Opted-out contacts are never messaged again. All future automation steps are automatically skipped for them. Opt-out is TCPA/CTIA compliant and recorded at the contact level.
Does Spokk use a dedicated phone number for my facility?
For US and Canadian facilities on paid plans, Spokk provisions a dedicated toll-free SMS number for your business. During the 14-day free trial, messages come from a shared Spokk number. International facilities can bring their own Twilio credentials.
Can I set a cooldown to avoid over-messaging frequent daycare clients?
Yes. The feedback cooldown setting in Spokk controls how many days must pass before a contact is triggered again. If a daycare client comes in every week, you might set the cooldown to 30 days so they are not receiving the full sequence every single visit.
Does the automation sequence work for multi-location facilities?
Yes. Each location can have its own automation configuration, QR code, and sequence settings. Check-in at a specific location is tracked, and the feedback link routes to that location's form and Google review link.
Can I see a log of what messages were sent to each client?
Yes. The Spokk dashboard shows automation activity per contact โ€” what steps were sent, when, what was skipped and why, and whether the client clicked any links. You can see the full automation history for any individual client.
What is the 20-day referral step and how does it work?
The referral step is the last message in the default sequence. It sends the client their unique referral code via SMS 20 days after their visit. When they share it with a friend who books, both the referrer and the new client can receive rewards you define. Referral activity is tracked in the dashboard.
