The rebooking problem: out of sight, genuinely out of mind

Here's the thing about running a day spa that most spa owners know in their gut but don't have a system to address: clients do not come back automatically. Even clients who loved the experience. Even clients who tipped well and said "I'll be back soon!" on the way out.

The spa visit is a discretionary purchase. It competes with groceries, rent, birthday dinners, gym memberships, and everything else a person could spend money on in a given month. When life gets busy — and for most people, life is always busy — the spa drops off the mental priority list. Not because they don't value it. Just because there's no prompt to remember it.

This is different from, say, a dental practice, where twice-yearly reminders are expected and clients make appointments six months out. Spa clients don't work that way. The average spa-goer visits 2-3 times per year but intends to come more often. The gap between intention and action is filled by whoever manages to stay top of mind.

SMS automation solves this without any effort from your team. A client visits, gets a feedback request a couple hours later (stays top of mind), gets a review reminder a few days later (still in the awareness window), and gets a referral invite 20 days out (when they're most likely to recommend you to a friend). Your spa is part of their ongoing communication for nearly three weeks after a visit — not from one transaction-and-done.

The clients who do rebook often do so during this window. Not because the SMS told them to rebook — but because staying top of mind creates the context for rebooking to happen naturally.

The default 4-step SMS sequence, explained in full

Here's exactly what happens after every client check-in. The timing is the default — you can adjust any of these values in your settings.

01
2 hours after check-in
Feedback request SMS

The first message. A personal SMS addressed to the client by name, with a unique, secure feedback link tied to their specific visit. Timing is important here — 2 hours is enough time for the client to get home and decompress, but the experience is still vivid. Earlier feels rushed. Later gets lost in the evening.

"Hi [Name], thanks for visiting [Spa Name] today! We'd love to hear about your experience. Takes 60 seconds: [link]"
02
24 hours after check-in
Feedback reminder

A gentle follow-up for clients who received the feedback request but didn't open it or didn't complete it. Automatically skipped for any client who already submitted feedback — so clients who responded immediately never receive this. No one gets a nudge for something they've already done.

"Hey [Name], we noticed you haven't had a chance to share your feedback yet. It takes under a minute: [link]"
03
3 days after check-in
Google review reminder

For clients who submitted positive feedback but didn't click the Google review link. The message includes the AI-drafted review (or a link to it) so all the hard work is done. Skipped if the client already clicked the review link. Also skipped if the client never submitted feedback (no feedback means no review basis).

"[Name], we put together a Google review based on your feedback — it just needs a quick post from you! Here it is: [link]"
04
20 days after check-in
Referral program invite

The referral step is timed 20 days out deliberately. By that point, if a client is going to recommend your spa to someone, the memory of a great experience is still fresh but they haven't been overwhelmed with follow-up. They receive their unique referral code and a message explaining the reward. For both them and the friend they refer.

"Hey [Name]! Love having you as a client. Share your code [CODE] with a friend and you both get [reward]. [link]"

Smart skip logic: why this isn't another annoying texting system

Most SMS marketing platforms just blast every message in a sequence regardless of what the recipient has already done. That's why people hate SMS marketing. Spokk is different — every step checks what the client has already done before sending.

Here's how the logic works. Before each message sends, the system checks the client's current state. Has the feedback been submitted? Skip the feedback reminder. Did they click the review link? Skip the review nudge. Did they already opt out? Skip everything. The result is that clients only receive messages that are actually relevant to where they are in the sequence.

If: Client submitted feedback within 24h
Then: Feedback reminder (Step 2) is skipped
If: Client clicked the Google review link
Then: Review nudge (Step 3) is skipped
If: Client never submitted feedback
Then: Review nudge (Step 3) is skipped — no feedback to base a review on
If: Client replied STOP to any message
Then: All future steps for that contact are skipped permanently
If: Client is within the feedback cooldown window
Then: Entire sequence skipped — they were recently messaged
If: Client already received referral SMS this cycle
Then: Referral step (Step 4) is skipped

The practical result is that frequent clients — the ones who scan the QR code every two weeks — don't feel spammed. They receive messages that make sense given their recent behavior. That distinction matters a lot for how clients feel about your brand.

How to trigger the automation for your spa

You don't have to use the QR code if it doesn't fit your workflow. Spokk offers five different ways to kick off the automation sequence, so you can connect it to however you actually run your front desk.

📲
QR code check-in

Print and display the Spokk QR code at your front desk or treatment room door. Clients scan it when they arrive. Visit is logged instantly and the sequence starts. Works for walk-ins, retail, and scheduled appointments.

Best for spas that want a physical, visible check-in moment
Zapier / Pabbly (no-code)

Connect Spokk to Mindbody, Jane App, Acuity Scheduling, Square, or any other app your spa uses via Zapier or Pabbly. When an appointment is marked as completed in your booking software, Spokk's automation starts automatically. No code required — just drag-and-drop connections.

Best for spas using a booking platform and wanting zero manual steps
🔗
REST API

If your spa uses custom software or a POS system, you can trigger Spokk via our REST API with a simple POST request. Pass the client name, phone number, and any other visit data you want to track. Full API documentation is available in your Spokk dashboard.

Best for spas with custom tech or developer resources
👤
Staff portal (manual entry)

Any team member with access to the Spokk staff portal can log a client visit manually. Enter the client's name and phone number, and the sequence starts. This is the fallback for clients who don't scan the QR and aren't in your booking system — phone-in appointments, gift card walk-ins, etc.

Best for edge cases: walk-ins, phone bookings, gift card redemptions
🔄
HubSpot integration

If you use HubSpot as your CRM, connect it to Spokk via OAuth. New or updated contacts, closed deals, or any trigger you configure in HubSpot can start a Spokk automation sequence. Configure exactly which HubSpot events trigger Spokk.

Frequently asked questions

What SMS messages does Spokk send automatically for day spas?
The default automation sequence sends: (1) a feedback request 2 hours after check-in, with a personalized link to rate their experience; (2) a feedback reminder 24 hours later if they haven't submitted feedback yet; (3) a Google review reminder 3 days after check-in if feedback was submitted but the review link wasn't clicked; and (4) a referral request 20 days after check-in with their unique referral code. Every step is customizable.
How does Spokk know when to skip a message?
Spokk has smart skip logic built into every step. The feedback reminder is skipped if the client already submitted feedback. The review reminder is skipped if the client already clicked the review link. No client gets a message they've already acted on.
How is the automation triggered for day spa clients?
The automation triggers on client check-in. Check-in can happen via QR code scan at the front desk, via Zapier or Pabbly connecting your booking software (Mindbody, Jane App, Acuity, etc.), via the Spokk REST API, via HubSpot integration, or manually from the Spokk staff portal for walk-ins.
Can I customize the SMS messages?
Yes. Every message template is fully editable. You can change the wording, adjust the delay timing, and enable or disable individual steps. Templates support dynamic variables: {{name}} inserts the client's name, {{company}} inserts your spa name, and {{link}} inserts the relevant URL.
What if a client doesn't want to receive automated messages?
Clients can opt out by replying STOP to any message. Opted-out contacts are never messaged again — all future automation steps are automatically skipped for them. Opt-out is recorded at the contact level in Spokk.
Does Spokk automation work for multi-location day spas?
Yes. Each location can have its own automation configuration, or they can all share the same flow. Check-in at a specific location is tracked, and the feedback link routes to that location's form.
Can I add extra steps beyond the default sequence?
Yes. The Spokk flow builder lets you add custom SMS steps with your own message and timing. For example, you could add a seasonal campaign step, a birthday message, or a re-engagement SMS for clients who haven't visited in 60 days.
Is the SMS number a dedicated number for my spa?
For US and Canadian spas, Spokk provisions a dedicated toll-free SMS number for your spa on paid plans. During the 14-day free trial, messages come from a shared Spokk number. International spas can use their own Twilio credentials (BYOT).
Can I connect Spokk to Mindbody or other spa booking software?
Yes. Spokk connects to Mindbody, Jane App, Acuity Scheduling, and thousands of other apps via Zapier or Pabbly — no coding required. When an appointment is marked complete in your booking software, the Spokk automation sequence starts automatically for that client.
What is the feedback cooldown and how does it work?
The feedback cooldown prevents the automation from triggering too soon after a recent sequence was already sent. You set the number of days — for example, 14 days — so a client who visits frequently won't receive the full sequence on every single visit. This prevents over-messaging regular clients.
Can I see logs of what messages were sent to each client?
Yes. Your Spokk dashboard shows automation activity for each contact — which steps were sent, when, what was skipped and why, and whether the client clicked any links. The automation logs are detailed and per-run.
