Make it yours

The default sequence is a great starting point. Everything about it is adjustable.

The four-step default sequence works well for most gyms right out of the box. But every gym is different. A 24-hour fitness center operates differently from a boutique cycling studio, which operates differently from a CrossFit affiliate. The sequence is fully customizable.

You can change the timing of any step. If you want to request feedback at 4 hours instead of 2, that is one click. If you want the referral invite at 30 days instead of 20, done. You can enable or disable individual steps. You can edit the message text for each step using plain English with the dynamic variable tags.

You can also add custom steps beyond the default four. Want to send a post-PT-session recovery tip the morning after? Add it. Want to send a re-engagement SMS to members who have not checked in for 30 days? That is a custom step. Want a class-specific follow-up for members who attended a new class for the first time? Add it with specific timing.

The Spokk flow builder is visual and straightforward. You see the sequence timeline with each step, the timing, the message text, and the skip conditions. You can drag steps, add steps, and preview what the message will look like before activating.

Questions about SMS automation for gyms

What SMS messages does Spokk send automatically for gyms?
The default sequence sends four messages: (1) a feedback request 2 hours after check-in with a personal link; (2) a feedback reminder 24 hours after check-in if the member has not responded; (3) a Google review nudge 3 days after check-in if feedback was submitted but the review link was not clicked; and (4) a referral invite 20 days after check-in with the member's unique referral code. Every step is customizable.
How does Spokk know when to skip a message?
Spokk has smart skip logic built into every step. The 24-hour reminder is automatically skipped if the member already submitted feedback. The 3-day review nudge is skipped if the member already clicked the review link. The referral step checks opt-out status. Members who replied STOP never receive any messages. No member gets a message they have already acted on.
How is the automation triggered for gym members?
The sequence starts on member check-in. Check-in can happen via QR code scan at the front desk, manual staff entry through the Spokk dashboard, REST API integration with your gym management software, or Zapier or Pabbly connections to platforms like Mindbody, Glofox, or Acuity. Any of these methods triggers the full sequence.
Can I customize the SMS message templates?
Yes. Every message template is fully editable in your Spokk dashboard. You can change the wording, adjust the delay timing, and enable or disable individual steps. Dynamic variables include {{name}} for the member's name, {{company}} for your gym name, and {{link}} for the relevant URL. You can also add custom SMS steps beyond the default four.
Can I add extra steps like a re-engagement message for members who stop coming?
Yes. The Spokk flow builder lets you add custom SMS steps at any timing. For example, you could add a re-engagement message at 45 days for members who have not checked in recently, a post-PT-session follow-up at 4 hours, a milestone congratulations for members approaching their loyalty reward, or a seasonal promotion at 60 days. Every custom step supports the same smart skip logic.
What phone number do my members see the messages coming from?
For US and Canadian gyms, Spokk provisions a dedicated toll-free SMS number for your gym on paid plans. This means every message to your members comes from the same consistent number, which members recognize over time. During the 14-day free trial, messages come from a shared Spokk number. International gyms can bring their own Twilio credentials.
Does SMS automation work with my gym booking software?
Yes. Spokk connects to most gym management platforms through its REST API and Zapier or Pabbly integrations. If your booking software (Mindbody, Glofox, EZFacility, Pike13, and most others) has a Zapier integration, you can connect it to Spokk without writing code. When a class is attended or a PT session is completed, Spokk receives the trigger automatically.
What is the feedback cooldown and how should I set it for a gym?
The feedback cooldown is the minimum number of days Spokk waits before triggering a new automation run for the same member. This prevents over-messaging frequent visitors. For gyms, most owners set 7-14 days. If a member visits daily, they will not receive a new feedback request more often than once every 7-14 days, depending on your setting.
Can members opt out of SMS messages?
Yes. Every Spokk message includes a STOP opt-out option. When a member replies STOP, all future automation steps for that contact are permanently skipped. Opt-out is recorded at the contact level and respected across all message types. Spokk is fully TCPA and CTIA compliant.
Can I see a log of what was sent to each member?
Yes. Your Spokk dashboard shows automation activity per contact: which steps were sent, when they were sent, which were skipped and why, and whether the member clicked any links. Logs are detailed and per-run, so you can see the complete picture for any individual member.
Does SMS automation work for multi-location gym chains?
Yes. Each location can have its own automation configuration and its own dedicated SMS number. Check-in at a specific location triggers that location's sequence, and feedback routes to that location's form and dashboard. You manage everything from one Spokk account.
