Send feedback and Google review requests from HubSpot

Connect HubSpot to Spokk and a new contact, a won deal or a ticked checkbox in HubSpot starts your Spokk follow-up: a feedback request by text or email, then a Google review invitation. Spokk only reads from HubSpot. It never changes your records.

How it works

Spokk connects to HubSpot as a read-only app. You choose the event that starts your follow-up: a new contact, a deal moved to Closed Won, or a contact property such as a "Send Feedback" checkbox your team ticks when the work is done. HubSpot tells Spokk the moment it happens, and the follow-up you set up in Spokk begins. It does not need HubSpot workflows, so it works on every HubSpot plan.

What you need

  • A HubSpot account, on any plan
  • A Spokk account (the free trial works)
  • Permission to install apps in your HubSpot account

Choose what starts the follow-up

A new contact

Every contact added to HubSpot gets your follow-up. Good when contacts are only created for real customers.

A deal moves to Closed Won

Ask for feedback the moment a sale is made or a job is booked and won.

A contact property changes

Pick any property and value. The usual choice is a "Send Feedback" checkbox your team ticks when a service is finished.

What happens after the trigger

Every customer goes through the same steps. Nothing about the follow-up depends on what you expect them to say.

  1. 1

Spokk finds or adds the customer

Matched on phone number or email, so repeat customers keep their history in Spokk.

  2. 2

    Your follow-up starts

The sequence you set up in Spokk runs, for example a feedback request by text two hours later. A cooldown stops one customer getting the sequence twice in a row.

  3. 3

Everyone gets the same review invitation

After they give feedback, the customer gets a link to your Google review page with an optional draft written from their own words. They edit it and post it themselves.

  4. 4

Loyalty and referrals stay up to date

If you run Spokk loyalty or referrals, the visit is counted and the customer gets their referral code.

Set it up in about ten minutes

Most businesses use the "Send Feedback" checkbox: it gives your team control over exactly who gets asked and when, and works on every HubSpot plan.

1. Connect HubSpot

  1. 1

In Spokk, go to Integrations and open HubSpot

Click Connect HubSpot. A HubSpot window opens.

  2. 2

Choose your HubSpot account and approve

Spokk asks for read access to contacts and deals only. When you approve, the window closes and the page shows HubSpot as connected.

2. Create a "Send Feedback" checkbox in HubSpot

Skip this if you would rather trigger on new contacts or won deals.

  1. 1

In HubSpot, go to Settings > Data Management > Properties and click Create property

  2. 2

Set the label to Send Feedback and the field type to Checkbox

Click the </> icon next to the label to confirm the internal name is send_feedback, then create the property.

  3. 3

Add it to your contact records

Open any contact, click Edit properties under About this contact, search for Send Feedback, add it and save.

3. Choose the trigger in Spokk

  1. 1

Back on the HubSpot page in Spokk, open Trigger Configuration

  2. 2

Tick Contact property changed and pick the Send Feedback (recommended) preset

Or tick Contact created or Deal moved to Closed Won instead. Save the trigger config.

  3. 3

    Test it on one contact

Tick Send Feedback on a contact with your own phone number. The first message arrives on the schedule you set in Spokk.

Using HubSpot workflows instead

For teams that already run HubSpot workflows. HubSpot only offers the "Send a webhook" action on some paid editions; the app connection above works on every plan.

  1. 1

Add a "Send a webhook" action to your workflow

Method POST, pointing at your Spokk webhook URL with your API key, which you will find on the API page under Integrations in Spokk.

  2. 2

Include the contact’s details in the request

Phone or email is required, first and last name are optional.

More than one location

Spokk prices on customers, not locations, so every location can be connected through the same HubSpot account.

Multi-location mode

Turn it on for the Send Feedback property and set the value to a Spokk location name, for example "Downtown". Spokk sends the request from that location.

Location mapping

Or name a HubSpot contact property that holds the location, and Spokk routes each contact by its value.

What Spokk can see in HubSpot

  • Read access to contacts and deals only. Spokk never edits or deletes HubSpot records.
  • It reads a contact’s name, phone number and email to send the request.
  • Every event HubSpot sends is checked against HubSpot’s signature before Spokk acts on it.
  • Disconnect at any time from the same page in Spokk. HubSpot-triggered follow-ups stop straight away.

Good to know

  • Each customer HubSpot sends to Spokk counts toward the monthly customers your Spokk price is based on.
  • Contacts need a phone number for text messages or an email address for email requests.

Frequently asked questions

Does the HubSpot integration need a paid HubSpot plan?

+
No. The Spokk app listens for HubSpot events directly rather than through workflows, so new contacts, won deals and property changes work on every HubSpot plan. Only the optional workflow webhook method needs a HubSpot edition that includes the "Send a webhook" action.

Will Spokk change anything in HubSpot?

+
No. Spokk asks for read-only access to contacts and deals. It reads the details it needs to send the request and never writes back to HubSpot.

How quickly is the request sent?

+
HubSpot notifies Spokk within seconds of the event. The first message then goes out on the schedule you set in Spokk, for example straight away or two hours later.

Can I control when customers are asked?

+
Yes. Choose the event that fits your business, such as ticking Send Feedback when a service is finished. Choose the moment, not the customer: Google’s review policy does not allow asking only the customers you expect to be happy, and Spokk sends every customer the same review invitation.

Does it work with more than one location?

+
Yes. Set the Send Feedback value to a location name, or map a HubSpot property to your Spokk locations, and each contact is routed to the right one.

What does Spokk send to the customer?

+
Whatever you set up in Spokk: usually a short feedback request by text or email, followed by an invitation to leave a Google review with an optional draft based on their feedback. Customers write and post their own reviews.
