Send feedback and Google review requests from Zoho CRM and Bigin
Add a webhook and a workflow rule in Zoho CRM or Bigin, and every new contact starts your Spokk follow-up: a feedback request by text or email, then a Google review invitation. It takes about ten minutes and no code.
14 days free, no credit card. Included on every Spokk plan.
How it works
Zoho CRM and Bigin can call a webhook when a workflow rule fires. You create a webhook that sends the contact’s name, phone and email to your Spokk URL, then attach it to a rule, usually "Contact created". From then on, each new contact starts the follow-up you set up in Spokk.
What you need
- Zoho CRM Professional or higher, or a paid Bigin plan (for webhooks)
- A Spokk account (the free trial works)
- Your Spokk webhook URL, shown on the Zoho page under Integrations in Spokk
Choose what starts the follow-up
A new contact
The standard setup: a workflow rule on Contacts that fires when a record is created.
A contact is created or updated
Fire on updates too for repeat visits. Add a rule condition, such as a "Visit completed" field, so routine edits do not count as visits.
Any rule you build
Any Zoho workflow rule that can call the webhook with the contact’s phone or email will work.
What happens after the trigger
Every customer goes through the same steps. Nothing about the follow-up depends on what you expect them to say.
- 1
Spokk finds or adds the customer
Matched on phone number or email, so repeat customers keep their history in Spokk.
- 2
Your follow-up starts
The sequence you set up in Spokk runs, for example a feedback request by text two hours later. A cooldown stops one customer getting the sequence twice in a row.
- 3
Everyone gets the same review invitation
After they give feedback, the customer gets a link to your Google review page with an optional draft written from their own words. They edit it and post it themselves.
- 4
Loyalty and referrals stay up to date
If you run Spokk loyalty or referrals, the visit is counted and the customer gets their referral code.
Set it up in Bigin or Zoho CRM
Both take two parts: create the webhook, then attach it to a workflow rule. Copy your webhook URL from the Zoho page under Integrations in Spokk first.
Bigin
- 1
Go to Automate > Workflow > Webhooks > Configure Webhook
- 2
Name it Spokk Check-in, set the method to POST and paste your webhook URL
https://www.spokk.io/api/integrations/zoho/webhook?api_key=YOUR_SPOKK_API_KEY
- 3
Under Body, choose Raw Data, set the format to JSON and paste this template
The ${!Contacts.X} placeholders are how Bigin fills in each contact’s details.
{ "First_Name": "${!Contacts.First_Name}", "Last_Name": "${!Contacts.Last_Name}", "Phone": "${!Contacts.Phone}", "Mobile": "${!Contacts.Mobile}", "Email": "${!Contacts.Email}", "id": "${!Contacts.Id}" } - 4
Save the webhook
- 5
Go to Automate > Workflow > Rules > Create Rule
Choose the Contacts module and the trigger Created (or Created or Updated).
- 6
Under Instant Actions, add the Spokk Check-in webhook and save the rule
It is active straight away: new contacts now start your Spokk follow-up.
Zoho CRM
- 1
Go to Setup > Automation > Actions > Webhooks > Configure Webhook
- 2
Name it Spokk Check-in, set the method to POST and paste your webhook URL
- 3
Under Body, choose Raw Data, set the format to JSON and paste the same template
{ "First_Name": "${!Contacts.First_Name}", "Last_Name": "${!Contacts.Last_Name}", "Phone": "${!Contacts.Phone}", "Mobile": "${!Contacts.Mobile}", "Email": "${!Contacts.Email}", "id": "${!Contacts.Id}" } - 4
Save the webhook
- 5
Go to Setup > Automation > Workflow Rules > Create Rule
Choose the Contacts module and trigger on Record Created.
- 6
Under Instant Actions, add the Spokk Check-in webhook and save the rule
No webhooks on your Zoho edition?
Zoho Flow can do the same job on any edition.
- 1
Create a Flow with a Zoho CRM or Bigin trigger
For example, a new contact.
- 2
Add a "Call a webhook" action pointing at your Spokk webhook URL
Send the same fields as the template above.
More than one location
Spokk prices on customers, not locations, so every location can run through one Zoho account.
One location per webhook
Pick a location on the Zoho page in Spokk and its ID is added to the webhook URL, so everything from that webhook goes to that location.
Route each contact
Add a custom text field called Spokk_Location_ID to Contacts, fill in the Spokk location ID when a contact is created, and add "Spokk_Location_ID": "${!Contacts.Spokk_Location_ID}" to the body.
What Spokk receives
- Only what the webhook sends: the contact’s name, phone number, mobile, email and Zoho record ID.
- Your webhook URL contains your Spokk API key, so keep it inside Zoho and do not share it.
- You can regenerate your Spokk API key at any time, which stops any webhook using the old one.
- Spokk never connects to your Zoho account itself. It only receives what your workflow sends.
Good to know
- Each customer Zoho sends to Spokk counts toward the monthly customers your Spokk price is based on.
- Contacts need a phone number for text messages or an email address for email requests.
